How-to: Export Data and Reports

Collecting and analyzing data is key to the long-term success of any organization, including nonprofits. With the right data, your organization can discover insights that will improve your donor engagement techniques, build awareness, and enhance your fundraising tactics.

That’s why Donorbox has made it easy to export data for Donations, Recurring Plans, and Supporters, along with our easy-to-use Donor Reporting Templates.

In this lesson, you'll learn how to export this data and use it to better understand your donors, reach them where they're at, and raise more funds to further your mission.



How to access the Donations CSV report

The Donations CSV report shows you all of the donations made via Donorbox over time, and you can use the categories and parameters to narrow this down by time frame, source, campaign, and much more. This will help you see how your organization is performing when it comes to bringing in individual gifts.

To access this report, follow these simple steps.

Step 1

Click on the 'Manage' tab from the left-hand navigation menu, then click on the 'Donations' tab, as shown below.



Step 2

Choose the parameters you want to export. You can export by time period, payment status, intervals, payment source, currencies, campaigns, name, and email, and include text-to-give or memberships.

Step 3

Click on the 'Export' button and choose to either export all columns or a customized subset, as shown below.

Step 4

After you click 'Export,' you'll see a progress bar appear on the dashboard. Once the CSV file is done loading, it will appear in your computer's Downloads bar or folder.



How to get the Recurring Plans CSV report

Want to get a better look at the recurring plans your donors have set up for your organization? Check out the Recurring Plans reporting options! Use this report to view how many plans are currently active, how many funds are being raised through these plans, and more.

Follow these quick steps to download your Recurring Plans data.

Step 1

Click on the 'Manage' tab from the left-hand navigation menu, then click on the 'Recurring Plans' tab, as shown below.

Step 2

Choose the parameters you want to export using the drop-down tabs, including plan amounts, donated amounts, plan status, start date, and more.

Step 3

Click on the 'Export' button and choose to either export all columns or a customized subset, as shown below.

Step 4

After you click 'Export,' you'll see a progress bar appear on the dashboard. Once the CSV file is done loading, it will appear in your computer's Downloads bar or folder.



How to access the Supporters CSV report

If you'd like a detailed look at all of your supporters in one place, the Supporters CSV report is the way to go. This report gives you the ability to see donation totals, the number of donations, and much more, broken down by each specific supporter, and can be extremely useful when segmenting your future campaigns.

Follow these simple steps to access your own Supporters CSV report.

Step 1

Click on the 'Manage' tab from the left-hand navigation menu, then click on the 'Supporters' tab, as shown below.



Step 2

Choose the parameters you'd like to view and export, including intervals, currencies, campaigns, and more, using the drop-down tabs.

Step 3

Click on the 'Export' button and choose to either export all columns or a customized subset, as shown below.

Step 4

After you click 'Export,' you'll see a progress bar appear on the dashboard. Once the CSV file is done loading, it will appear in your computer's Downloads bar or folder.



How to access and build reports with Donor Reporting Templates

We understand that constructing your own donation reports can take time away from furthering your mission. By organizing key data into an easily digestible format, our Donor Reporting Templates enable you to easily conduct critical donor data analysis, providing insights that will empower you to take relevant action.

To access these reports, follow the simple steps below.

Step 1 - Log in to your Donorbox account

Click here to log in to your Donorbox account and access your dashboard.

Step 2 - Visit the ‘Reports’ page in the dashboard

Select ‘Reports’ in the left-hand navigation of your Donorbox dashboard – find it under ‘Engage’. Here, you will be able to see any existing reports as well as create new ones.

Step 3 - Create a new report

Select ‘New Report’ in the Reports dashboard to build a report using one of our carefully curated templates.

Step 4 - Select your template

Choose your template from the options listed – Donor Overview report, New Donors report, and LYBUNT report. Find more details about each of these reports, and how to use them, below.


Select the ‘Next: Parameters’ button to move on to the next step.


Step 5 - Adjust your template settings and details

Here, you can select your parameters, including the timeframe you would like to review for the Donor Overview and New Donors reports. You may also name your report – we recommend being as specific as possible – as well as add a report description.

Click ‘Finish: Create Report’ to generate your report.

Step 6 - Wait for your report to generate

Your report may take a few minutes to generate, depending on the level of detail as well as the amount of donor data required. Do not refresh the page while the system is creating your report.

Step 7 - Download your report

Once your templated report is created, you may download a CSV file by clicking ‘Download’. Don’t worry – this report will also be saved on the main ‘Reports’ page in your dashboard, and you’ll be able to access, edit, and download it at any time!

Pro Tip: If you would like to edit an existing report, head back to the main ‘Reports’ page. Find the report you’d like to edit, then click the three-dot icon and select ‘Edit Report’. You may also delete the report here.




How to use the Donor Reporting Templates

Donor Overview Report Template

The Donor Overview template provides you with a bird’s eye view of your donors and their gift amounts during a set period of time, selected by you.

How to use: This flexible report can be utilized for many different purposes. You can use it to track trends among your donors over selected dates, and learn how to better segment and engage with them based on your findings.

In addition, you can use the Donor Overview report to track the effectiveness of a specific campaign by looking at the time frame during which it was held. And you can compare month-over-month or year-over-year changes, view the entire calendar year for year-end receipts, or look at your fiscal year for financial reporting purposes.

New Donor Report Template

Our New Donor report template makes it easier than ever to keep track of your new donors as well as their first and last name, email, first donation date, and their first donation amount. Like the Donor Overview template, you can adjust the time frame to see new donors over a specific period.

How to use: The New Donor report is beneficial when it comes to ensuring you are engaging new donors with thank you letters and other touch points. Similar to the Donor Overview report, you can also use it to compare your donor acquisition levels during specific campaigns or other periods of time. It also makes it easier to glean insights about what messaging or tactics may be bringing in new support.

LYBUNT Report Template

The LYBUNT report template is critical for tracking those elusive lapsed donors. Standing for “Last Year But Unfortunately Not This Year,” LYBUNT donors were clearly interested in supporting your organization at some point, but have not given this year. With this report template, you can easily track these donors in one location.

How to use: Each nonprofit organization has (or should have) a lapsed donor strategy. Use the LYBUNT report template to quickly segment these donors and apply this strategy to the appropriate contacts, re-engaging them with targeted email campaigns, direct mail appeals, personal phone calls, and more.
